Who this policy covers
This policy explains how TRINZ Digital Services handles personal information collected through this website and through the marketing work we carry out for clients. It applies to visitors to this site, people who send us an enquiry, and businesses who engage us for digital marketing or development services.
Where we run campaigns, analytics or email programmes on behalf of a client, that client decides what data is collected and why. In those cases we act on their instructions, and their own privacy policy governs the data of their customers.
Information we collect
We only collect what we need to reply to you and to run the services you have asked for.
- Enquiry details: the name, email address, phone number, service of interest and message you submit through our contact form.
- Messages you send us: the contents of WhatsApp messages, emails or calls you initiate, including any files you share.
- Usage data: pages visited, approximate location (city level), device and browser type, referring source and time on page, collected through analytics tools.
- Cookies and similar identifiers: small files that let us measure traffic, remember preferences and, where enabled, measure advertising performance.
- Client account access: for engaged clients, credentials or delegated access to platforms such as Google Ads, Google Analytics, Search Console, Meta Business Manager, hosting or email tools.
We do not knowingly collect sensitive personal data such as financial account details, health information or government identifiers through this website. Please do not send such information through the enquiry form.
Why we use it
- To reply to your enquiry and prepare a proposal or quote.
- To deliver the services agreed in your contract, including campaigns, websites, reporting and support.
- To improve this website and understand which pages and sources bring genuine enquiries.
- To send service-related communication, such as project updates, reports and invoices.
- To send marketing emails, only where you have opted in, with an unsubscribe link in every message.
- To meet legal, tax and record-keeping obligations.
We do not use enquiry details for automated decision-making or profiling that produces legal effects.
The basis on which we process data
We process personal data on one of the following bases: your consent, such as when you submit the enquiry form or subscribe to emails; the performance of a contract, when we are delivering services you have engaged us for; our legitimate interest in running and improving our business, where that does not override your rights; and compliance with a legal obligation, such as tax record retention.
Where processing depends on consent, you may withdraw it at any time. Withdrawal does not affect processing that already took place.
Cookies and analytics
This website uses cookies and similar technologies to understand how it is used and, where advertising is active, to measure campaign performance.
- Essential cookies, which are required for the site to function and cannot be switched off.
- Analytics cookies, such as Google Analytics, which tell us how many people visit, which pages they read and where they came from.
- Advertising cookies, such as those set by Google Ads or Meta, which measure whether an ad led to an enquiry.
Most browsers let you block or delete cookies through their settings. Blocking analytics or advertising cookies will not prevent you from using this site.
Third-party services we rely on
We use established third-party platforms to deliver our services. Each processes data under its own privacy terms, and we share only what is necessary.
- Google services, including Analytics, Search Console, Google Ads and Google Business Profile.
- Meta platforms, including Facebook and Instagram advertising and page management.
- Email and marketing tools used to send newsletters and automated sequences, where a client has that service.
- Hosting, domain and content delivery providers that keep websites online and secure.
We do not sell personal information, and we do not share enquiry details with anyone for their own marketing purposes.
Data we handle for clients
When we manage advertising accounts, analytics, websites or email lists for a client, we may have access to data about that client's own customers. We treat that data as confidential, use it only for the agreed work, and do not copy it for our own purposes.
Accounts are created in the client's name wherever the platform allows it. When an engagement ends, our access is removed and any working copies of client data are deleted, except where a record must be retained for legal or accounting reasons.
How long we keep it
Enquiry messages are kept for as long as needed to respond and for a reasonable period afterwards, in case you get back in touch. Client project records and invoices are kept for the period required by applicable tax and company law.
Analytics data is retained according to the settings of the analytics platform in use. Marketing email subscriptions are kept until you unsubscribe.
Your rights over your data
Subject to applicable law, including the Digital Personal Data Protection Act, 2023 in India, you may:
- Ask what personal data we hold about you and why.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete data we no longer have a reason to keep.
- Withdraw consent for marketing communication at any time.
- Nominate another person to exercise these rights on your behalf in the event of death or incapacity.
- Raise a grievance about how your data has been handled.
To make a request, contact us using the details at the end of this policy. We will respond within a reasonable period and may ask you to confirm your identity first.
How we protect data
We use reasonable technical and organisational measures to protect personal information, including encrypted connections (HTTPS), access limited to team members who need it, and platform accounts secured with strong authentication.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your data, we will act promptly and inform you and the relevant authority where the law requires it.
Children
Our services are meant for businesses, and this website is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this policy as our services, tools or legal obligations change. The date at the top shows when it was last revised. Significant changes will be highlighted on this page, and continued use of the site after an update means you accept the revised policy.
Contact and grievances
For any question about this policy, a data request, or a complaint about how your information has been handled, please contact us through the details on our contact page. We take grievances seriously and will respond to them directly.
